Most UAE brokerages juggle two very different kinds of stock. Some listings are exclusive: the owner has chosen your agency alone to market the property. Others are open: the owner is happy for several agencies to find a buyer or tenant, and whoever closes first earns the commission.

Both can be good business. But they need different handling in your CRM and on Property Finder, Bayut and Dubizzle. Treat them the same and you either over-invest in listings you may lose tomorrow, or under-market the ones you have worked hard to win. This comparison explains exclusive vs open listings from a CRM-to-portal point of view, and how to manage both from one system.

The quick definitions

Exclusive listing: your agency holds the sole mandate for a period agreed with the owner. You control the photos, the description, the price communication and the viewing process.

Open (non-exclusive) listing: the owner works with more than one agency. The same unit may appear on the portals several times under different agency names, sometimes with different prices or photos.

Whichever type you hold, Dubai brokers generally need a signed agreement with the owner (for sales, RERA's Form A) and a valid advertising permit before a listing goes live. Check the current RERA requirements for your situation, and record both in the CRM so nobody publishes without them.

Side-by-side comparison

Control over portal contentFull: one agreed description, photo set and priceLimited: other agencies may show different details
Worth investing in mediaYes: professional photos, video and floor plans pay offUsually basic: the listing may be gone next week
Speed to publishCan be planned, with a proper launchCritical: other agencies are competing for the same enquiries
Risk of stale listingsLower: you know when it sellsHigher: the owner may close with another agency and forget to tell you

The CRM fields both types need

Start with a shared property record, then add a few fields that tell the system how to treat the listing:

  • Mandate type: Exclusive or Open, as a list field, never free text.
  • Mandate start and end dates: essential for exclusives, still useful for open listings.
  • Owner agreement and permit status: a document upload plus a status such as Pending, Valid or Expired.
  • Listing agent: the person accountable for accuracy and follow-up.
  • Last availability check: the date someone last confirmed with the owner that the unit is still on the market.
  • Portals: which of Property Finder, Bayut and Dubizzle the listing is published on.

If you use Bitrix24, a Smart Process for properties can hold these fields with their own stages, so listings move through steps such as Intake → Ready to publish → Live → Under offer → Closed or Withdrawn.

Workflow for exclusive listings

  1. Intake: record the mandate, dates, agreement and permit. Set the property to Ready to publish only when all are present.
  2. Prepare a full marketing pack: professional media, a well-written description and accurate amenities.
  3. Publish everywhere relevant: push the same master record to all your chosen portals so details are consistent.
  4. Report to the owner: share enquiries and viewings regularly. The CRM already holds this data, so reporting becomes a routine, not a chore.
  5. Watch the expiry: create a reminder before the mandate ends so the agent can discuss renewal while the relationship is still strong.

Workflow for open listings

  1. Quick intake: capture the essentials, the owner agreement and permit, then publish quickly.
  2. Keep it accurate: make sure price, size and availability match what the owner told you.
  3. Check availability on a schedule: set a recurring task for the listing agent to confirm the unit is still available. If the check is overdue, flag the listing for review.
  4. Unpublish fast: when the owner says it is gone, withdraw the listing from every portal at once. Leaving it live wastes enquiries and erodes trust.
  5. Look for upgrade chances: if your agency is producing most of the enquiries and viewings, that record is a strong conversation starter when asking the owner for an exclusive mandate.

Where portals fit in

Each portal has its own listing quality and duplicate rules, and these change over time, so check each portal's current guidelines. From the CRM side, two habits help with both listing types:

Questions to settle as a team

  • Who can mark a listing as exclusive, and what proof is required?
  • How often must open listings be re-checked, and what happens if a check is missed?
  • Which media standard applies to each type?
  • Who renews expiring mandates, and how far in advance?

Write the answers down, then build them into fields, stages and reminders. If you are still setting up outbound publishing, start with publishing listings from CRM to the portals.
