Duplicate Contacts in Bitrix24: A Clean-Up Playbook for Brokerages

Ask any sales manager at a busy UAE brokerage about their CRM and you will often hear the same complaint: "We have the same buyer three times." One record came from a Property Finder enquiry, another from a WhatsApp chat, and a third was typed in by an agent after a viewing. Each record has a different owner, a different phone format and a different part of the conversation.

Duplicates are more than untidy. Two agents can call the same landlord on the same morning. Reports count one buyer as three leads. And when a client asks "what did we agree last time?", the answer is split across records nobody has linked together.

The good news is that Bitrix24 has built-in tools for finding and merging duplicates. This playbook walks through a practical clean-up in three phases: prepare, clean and prevent. Every Bitrix24 feature mentioned is based on Bitrix24's own Helpdesk documentation.

Phase 1: Prepare before you merge anything

Agree what a duplicate means for your brokerage

Not every match is a true duplicate. A husband and wife may share one email address. A property management company may have one main phone number for ten landlords. Before merging, agree on simple rules as a team. For example: same person plus same mobile number is a duplicate; same company phone alone is not.

Check who is allowed to merge

According to the Bitrix24 Helpdesk, merging requires permission to update and delete CRM items. That is a good safeguard. Give merge rights to one or two people who understand your data, such as a sales operations lead or a team manager, rather than to every agent. If you are still shaping roles, our Bitrix24 implementation checklist covers where permissions fit in a wider rollout.

Standardise phone numbers first

In the UAE, the same mobile number can appear as 050..., +97150... or 0097150.... Duplicate checks work on field values, so inconsistent formats hide real matches. Agree one format (with the country code) and fix the worst offenders before you scan. This one step often reveals more matches than anything else.

Phase 2: Clean the existing database

Step 1: Run a duplicate scan per CRM item

Bitrix24 checks leads, contacts and companies for duplicates. To start a scan, go to the CRM, open the item tab (for example Customers > Contacts), click the settings gear, choose Duplicate control, click Change to select the fields to compare, save, and click Start scan.

The Helpdesk lists the fields used for checking:

  • Leads: full name, company name, phone and email
  • Contacts: full name, phone and email
  • Companies: company name, phone and email

Start with contacts. In real estate, the contact is usually the person who matters most: the buyer, tenant, landlord or seller.

Step 2: Understand what merges automatically

Bitrix24 only merges items automatically when the match is clean. Per the Helpdesk, that means all field values match, the same employee is responsible for the items, and (for leads) they are at the same Kanban stage. If even one value differs, Bitrix24 suggests a manual merge instead. When records merge automatically, the one created earlier remains and the others are deleted. You can see what was removed in the History tab and restore items from the CRM Recycle Bin if needed.

This automatic check runs once a day by default. You can change the frequency, or set it to Never, under Find and merge duplicates in the same settings menu. It is configured separately for leads, contacts and companies.

Step 3: Review the manual matches carefully

Most real estate duplicates will need a human decision, because agents fill in records differently. In the manual merge screen you:

  1. Select the main record you want to keep.
  2. Review each field. Where values differ, choose the one to save. Multi-value fields such as phone and email can keep all entries, which is useful when a landlord has both a personal and an office number.
  3. Check the preview of the merged result.
  4. Click Merge, Merge and edit, or Later.

If two records are genuinely different people, click Not a duplicate. Bitrix24 will stop suggesting that pair automatically.

Step 4: Merge deals by hand where needed

The Bitrix24 FAQ notes that deals can only be merged manually. Select the records in the list, choose Select action > Merge, and pick the main record. Manual merging also works for leads, contacts, companies, invoices, estimates and smart process (SPA) items. For deals, be careful: two deals for the same client may be two real opportunities, for example a rental now and a purchase next year.

Phase 3: Prevent new duplicates

Set duplicate rules on CRM forms

Website and landing page forms are a common source of repeat records. In Bitrix24 CRM forms, when a form creates a deal, you can choose how to handle duplicate contacts and companies: Allow duplicates, Replace duplicates or Merge duplicates. The Helpdesk explains that a record counts as a duplicate when any two of three details match: full name or company name, phone number, or email. With Replace or Merge, you can also enable Use an active deal, don't create a new one, so a returning buyer's new enquiry lands on their open deal.

Decide how repeat enquiries should behave

Bitrix24 has a repeat sales mode. When it is on, a returning client who contacts you after their lead was closed gets a new lead (or deal, in Simple CRM mode) marked as repeat and linked to their existing contact. That is helpful for a landlord who comes back with a second unit. If you prefer to keep everything on the existing record, the option can be turned off under CRM > Settings > CRM settings > Other > Other settings. Whichever you choose, make it a conscious team decision.

Keep junk out with exceptions

Some "duplicates" are not clients at all: newsletters, supplier emails or repeated spam calls. Bitrix24's Exceptions list blocks automatic lead and deal creation from specific email addresses and phone numbers. The Helpdesk notes it does not apply to chats or CRM forms, so it complements, rather than replaces, the steps above.

Connect channels to the CRM properly

Duplicates multiply when each channel creates records in its own way. Make sure portal leads, WhatsApp chats and website forms all flow into the same CRM with consistent fields. Our guides to capturing portal leads in Bitrix24 and WhatsApp and Open Channels cover those connections in detail.

A simple monthly routine

  • Week 1: run a contact scan and clear the manual matches.
  • Week 2: spot-check new records from each lead source for phone format and missing fields.
  • Week 3: review leads and companies.
  • Week 4: check the Recycle Bin and History for any merge that went wrong, and update your team rules.

Clean data also makes everything else work better, from lead scoring and assignment to reporting.

A note on plans

Bitrix24 states that automatic duplicate merging should be checked against your plan. Confirm what your subscription includes before you design the routine around it.
